Position Summary
We are seeking a highly organised, proactive and trustworthy Personal Assistant who will also oversee general administrative functions across the business. This role is ideal for someone who enjoys variety, takes ownership of tasks, anticipates needs before being asked, and thrives in a fast-paced entrepreneurial environment. The successful candidate will become the central point of coordination for the Managing Director’s professional activities while ensuring the smooth day-to-day administration of the company.

 

Key Responsibilities

Executive Support
• Manage the Managing Director’s calendar, meetings and appointments.
• Coordinate travel arrangements, accommodation and itineraries.
• Screen and prioritise emails, phone calls and correspondence.
• Prepare meeting agendas, presentations and documentation.
• Take minutes during meetings and ensure follow-up actions are completed.
• Remind the Managing Director of important deadlines and commitments.
• Handle confidential information with complete discretion.
• Assist with personal errands and administrative tasks when required.

 

Company Administration
• Oversee the company’s general administrative operations.
• Maintain organised filing systems (physical and electronic).
• Manage office supplies and consumables.
• Prepare letters, contracts and general correspondence.
• Maintain company records and databases.
• Ensure administrative processes are efficient and continuously improved.

 

Event Coordination
• Track multiple events and deadlines.
• Follow up with internal departments to ensure deliverables are completed.
• Prepare event status reports.

 

Qualifications
• National Diploma, Higher Certificate, or National N-Diploma in Office Administration, Management Assistant, or Business Administration.

 

Criteria
• Minimum 5 years’ experience as a Personal Assistant or Senior Administrator.
• Exceptional organisational and time-management skills.
• Strong written and verbal communication.
• Excellent Microsoft Office skills (Outlook, Word, Excel and PowerPoint).
• Experience using cloud-based business systems.
• Strong attention to detail.
• Ability to manage multiple priorities simultaneously.
• Professional presentation and demeanour.
• High level of integrity and confidentiality.
• Valid driver’s licence.

 

Preferred
• Experience supporting a managing director or business owner.
• Project coordination experience.
• Basic financial administration knowledge.

Remuneration
• R25-R30k
