Job Specification: Personal Assistant/Administrator to Financial Broker

Position: Admin Department: Bedfordview

Job Summary: The Personal Assistant will provide comprehensive administrative and secretarial support to the Financial Broker and Admin Team of the Long-Term Insurance Department. They will handle a wide range of tasks to ensure efficient workflow and effective communication.


  1. Manage the Financial Advisor’s calendar, schedule appointments, and coordinate meetings with the Call Center Agent, ensuring optimal time management and
  2. Handle incoming calls, emails, and correspondence, responding on behalf of the Financial Broker or redirecting the appropriate personnel.
  3. Prepare and review documents, reports, presentations, and other materials as requested by the Financial Advisor.
  4. Assist in the preparation and coordination of meetings, including arranging logistics, taking minutes, and following up on action items.
  5. Maintain confidential files and records, ensuring their accuracy, organization, and
  6. Liaise with internal departments, external stakeholders, and clients on behalf of the Financial Broker, maintaining professional and positive relationships.


  1. Proven experience as a personal assistant, executive assistant, or similar role, preferably supporting senior executives or managers.
  2. Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  3. Strong written and verbal communication skills, with attention to detail and accuracy in all communications.
  4. Proficiency in using office software and applications, including MS Office (Word, Excel, PowerPoint, Outlook), and familiarity with digital tools for scheduling and document management.
  5. Discretion and confidentiality in handling sensitive information and maintaining professional ethics.
  6. Strong interpersonal skills, with the ability to build relationships and work collaboratively with colleagues at all levels.

  9. Flexibility and adaptability to changing priorities and fast-paced
  10. Previous experience in the insurance industry or related field is a plus.
