Legal Secretary – SSLS

Main job function

The Legal Secretary will provide administrative and secretarial support across the Legal function, together with assistance with general HR administration.

This is a hands-on administrative support role suited to an organized individual who is comfortable working with confidential information, documentation and multiple priorities.

 

Duties and Responsibilities include, but are not limited to the following:

  • Provide administrative and secretarial support to the Head of Legal and HR
  • Prepare, format, proofread and file legal correspondence and documentation
  • Maintain legal files, agreements, contracts and supporting documentation
  • Assist with document control, filing, scanning and electronic record keeping
  • Maintain and monitor legal and administrative registers
  • Assist with tracking agreements, legal matters, actions and important deadlines
  • Coordinate meetings, appointments and documentation as required
  • Assist with correspondence and communication with internal and external stakeholders
  • Maintain accurate and confidential records
  • Assist with maintaining HR policies, registers and controlled documents
  • Assist with filing and administration relating to disciplinary and employee relations matters
  • Assist with preparation of HR reports and supporting documentation
  • Provide general administrative support to the Legal and HR functions as required

 

The successful candidate should have previous experience in a Legal Secretary, Legal Administrator or similar administrative support role.

  • Good working knowledge of Microsoft Office, particularly Word, Excel, Outlook and PowerPoint

 

Minimum Qualifications

  • Matric / Grade 12
  • Legal Secretarial, Paralegal, Office Administration or related qualification would be advantageous
  • Previous legal secretarial or legal administrative experience
  • Previous exposure to HR administration would be advantageous
  • Good computer literacy and Microsoft Office skills
