Main job function
The Property Administrator administers the property side of the Group’s portfolio of 40 + properties and reports directly to the Senior Financial Accountant. The Group is in the process of selling down its property portfolio, so while the role covers the full day-to-day property administration, its focus will over time shift toward supporting the disposals and administering the ongoing handover with the third party purchasing the properties. We are therefore looking for a dependable, self-sufficient administrator rather than a specialist property manager.
Experience
- 2-3 years’ experience in property administration ,lease administration and experience dealing with municipal accounts.
Qualifications
Essential:
- Matric / National Senior Certificate. No tertiary qualification is required.
- Able to work independently and manage their own workload with minimal supervision.
- A strong work ethic – diligent, dependable and accurate.
- Numerate and well-organised, with good MS Office skills (especially Excel and Word).
- Trustworthy and discreet, given the handling of confidential records and original title deeds.
Advantageous:
- Experience in property administration, lease administration and/or municipal-related matters.
- Exposure to reviewing rental schedules and municipal accounts, and to property projects (disposals, rezoning, town-planning applications).

Must possess a relentless attitude. They will deal with local municipalities, town planners, and utility boards daily. They must be comfortable holding on the phone, following up repeatedly, and refusing to drop an issue until a resolution or reference number is secured. [1, 2]
- Assertive yet Professional Communication:
The candidate must be firm, confident, and diplomatic. They need to pressure external service providers and council workers to do their jobs without burning professional relationships or exposing the Group to risk.
- Meticulous Attention to Detail:
Essential for auditing municipal bills and complex lease clauses. We need someone who naturally spots a misplaced decimal point, a wrong tariff rate, or a missing lease addendum before it costs the company money.
- Proactive Ownership & Urgency:
We are not looking for a passive data capturer. This person must anticipate bottlenecks with external parties and drive issues to a finish line before the delays disrupt our 40+ retail stores.
- High Adaptability & Support Mindset:
The candidate will directly support our Senior Financial Accountant. They must be comfortable shifting focus from routine administration to urgent, ad-hoc property projects or asset sale tasks when needed.
Key responsibilities
- Maintain a register of properties, property leases, monitor compliance with each lease, attend to renewals and assist with the preparation of new lease agreements.
- Prepare the monthly rent schedule and all municipal charges (rates, water, electricity, refuse, etc.) before payment, to confirm the Group is correctly and accurately billed.
- Maintain the register of title deeds and ensure originals are safely stored in the strong room.
- Review rental and related property expense accounts monthly for accuracy and completeness.
- Assist with matters such as rezoning, obtaining site/ building plans, consent use applications and other property-related matters.
- Prepare for and attend meetings with the appointed property/utility service provider, and resolve municipal queries and escalations.
- Communicate professionally with municipalities, the service provider and external advisors. Serve as primary operational contact for third-party vendors and local councils, ensuring external delays do not impact retail store operations.
- Take full ownership of open queries with external parties, service providers, and municipalities, driving them to swift resolution through persistent follow-ups.
Support the Senior Financial Accountant with other project or related matters
Salary
R180 000 – R260 000 per annum
