Branch Operations Administrator – LWBOA

Main Job Function

The Branch Operations Administrator is responsible for ensuring the efficient day-to-day administration and operational coordination of the Cape Town branch.

 Position Summary

Our client is a market-leading, full-service B2B beverage solutions provider, delivering premium product, equipment, technical support, training, and ongoing service to a blue-chip client base across corporate and hospitality environments.  They are now looking for an exceptional individual to join the Cape Town team, to play a key role in ensuring the efficient day-to-day administration and operational coordination of the Cape Town branch.

 

The role serves as the administrative hub between customers, sales, warehouse operations, technical services, finance and head office. The successful candidate will ensure accurate stock administration, outstanding customer service, effective coordination of deliveries and technical activities, and disciplined operational processes that enable the branch to operate efficiently.

 

This is a highly organised role requiring exceptional attention to detail, strong systems thinking and the ability to manage multiple priorities simultaneously.

 

Key Responsibilities

Branch Administration

  • Manage all daily office administration activities.
  • Process customer invoices and supporting documentation.
  • Maintain accurate electronic filing systems.
  • Upload Proof of Delivery (POD) documentation.
  • Prepare and maintain branch operational reports.
  • Manage office supplies and consumables.
  • Coordinate external service providers for office maintenance, cleaning and fumigation.

Customer Service & Account Support

  • Provide professional telephone and email support to customers.
  • Follow up customer enquiries until resolved.
  • Liaise with customers regarding:
    • outstanding quotations
    • back orders
    • delayed deliveries
    • equipment servicing
    • order status
  • Proactively contact customers who have not ordered recently.
  • Assist Accounts with COD payments and invoice queries.
  • Coordinate customer credit note requests.

 

Warehouse & Inventory Administration

  • Own the administrative control of all inventory entering and leaving the Cape Town branch.
  • Responsibilities include:
    • Ordering stock from Head Office and suppliers.
    • Receiving incoming stock.
    • Booking stock into inventory.
    • Coordinating warehouse transfers.
    • Coordinating courier collections between Cape Town and Johannesburg.
    • Monitoring shipment progress until delivery.

 

Delivery Coordination

  • Schedule customer deliveries.
  • Coordinate drivers and delivery routes.
  • Capture daily delivery reconciliations.
  • Ensure all POD documentation is received.
  • Monitor delivery completion.
  • Resolve delivery issues with customers.

 

Technical Administration

  • Provide administrative support to the Technical Department.
  • Responsibilities include:
  • Log technical service calls.
  • Schedule preventative maintenance visits.
  • Track repairs and equipment servicing.
  • Follow up outstanding technical jobs.
  • Review technician job cards.
  • Verify completed work before invoicing.
  • Coordinate equipment collections and returns.
  • Capture equipment movements within company systems.

 

Operational Coordination

  • Monitor stock availability.
  • Communicate shortages.
  • Coordinate replenishment.
  • Liaise with Head Office.
  • Support sales and account managers.
  • Assist with customer events requiring equipment and products.
  • Check returned event equipment.

 

Required Experience & Competencies

  • 5+ years in an operations administration or office management role.
  • Warehouse administration experience.
  • Stock control experience.
  • Customer service experience.
  • Experience supporting multiple departments simultaneously.
  • ERP or inventory system experience.
  • Microsoft Office proficiency.
  • Experience using CRM or workflow software (Monday.com experience advantageous).
  • Highly organised with exceptional planning ability.
  • Able to maintain high levels of accuracy across large volumes of transactions.
  • Takes responsibility and follows tasks through to completion.
  • Delivers professional, responsive customer service.
  • Communicates clearly with customers and colleagues.
  • Identifies issues early and resolves them proactively.
  • Comfortable switching between multiple priorities throughout the day.
  • Works effectively across Sales, Technical, Warehouse and Finance functions.

 

Salary

R25,000 p/m
