Our client in the Financial sector are currently seeking the skills of a Facilities Coordinator. They have a role in Centurion, Pretoria and Cape Town
The role will support daily operations, vendor coordination, sustainability initiatives, digital optimization, safety compliance, and incident management, while gaining exposure to strategic facilities functions.
Main job function
Operational Support & Coordination:
- Assist in coordinating and overseeing daily facilities operations, including maintenance, repairs, office moves, and service requests.
- Manage and monitor requests and incidents using the Jira platform – log, assign, investigate escalations, and provide interim solutions.
- Review and interpret Jira reports to identify risks, concerns, trends, and achievements.
- Assist in inventory control for supplies and office equipment.
Vendor & Contractor Management:
- Coordinate with vendors and contractors for cleaning, security, maintenance, and utilities (water, electricity).
- Maintain strong relationships with service providers and monitor SLA compliance and performance.
- Report on vendor performance and escalate service gaps as needed.
Sustainability & Digital Optimization:
- Conduct data collection and analysis to monitor performance and identify trends.
- Support the research and implementation of eco-conscious solutions (e.g., energy efficiency, waste reduction, sustainable procurement).
- Leverage digital tools to enhance vendor communication and optimize resource allocation.
Project Administration:
- Provide administrative support for facilities-related projects – coordinate tasks, resources, and timelines.
- Maintain accurate project documentation and ensure updates are recorded and tracked appropriately.
Safety & Compliance:
- Conduct regular facility inspections to identify hazards and ensure compliance with safety standards.
- Assist in the implementation of health and safety policies.
- Support and coordinate safety training programs for staff and contractors.
- Assist in incident reporting and management, ensuring timely resolution and communication.
Reporting & Insights:
- Compile and present progress, performance, and incident reports for internal stakeholders.
- Provide monthly updates on SLAs, incidents, trends, and other critical metrics.
- Conduct infrastructure assessments and report on areas for improvement.
Backup & Standby Support:
- Be available to provide backup during standby periods to ensure business continuity. • Assist in incident escalation and resolution processes when required.
Qualifications
Diploma or Degree in Facilities Management, Business Administration, Engineering, Built Environment, or related fields.
Criteria
- Strong organizational and time management skills with the ability to prioritize effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); exposure to Power BI is advantageous.
- Ability to analyze data and generate reports.
- Self-motivated with the ability to work independently and collaboratively.
- A proactive approach to problem-solving and attention to detail.
- Basic knowledge of health and safety regulations is beneficial.
- 5 years experience in corporate environments, with exposure to contract and vendor management.
