Main job function
- Matric
- 3-5 years’ experience as a receptionist
- In-depth understanding of the entire office suite
- Professional level of verbal and written communication skills
- A proactive approach to problem solving with strong decision-making skills
- Attention to detail and accuracy
- Switchboard knowledge
Key deliverables:
- Greetings and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person or office
- Ensuring guests are taken care of, by offering refreshments
- Answer, screen, and forward incoming calls, take messages, and respond to general inquiries.
- Ensure reception area is tidy and presentable, with all necessary stationery and materials.
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk
- Update calendars and schedules
- Arrange local and international couriers to be fetched and delivered timeously
- Ensures the catering service for key meetings is seamless in terms of providing guidance/ oversight to the relevant kitchen staff.
- Perform other clerical receptionist duties such as but not limited to, filing and photocopying
