Main job function
- Managing conveyancing files from inception through to registration and finalisation, ensuring all matters are handled efficiently and within required timelines.
- Attending to development transfers, and individual/conventional transfer matters in accordance with firm and banking requirements.
- Preparing, drafting, and reviewing conveyancing documentation, including transfer documents, bond documents, guarantees, and supporting correspondence.
- Liaising professionally with clients, banks, estate agents, developers, municipalities, body corporates, attorneys, and the Deeds Office regarding the progress and requirements of transactions.
- Ensuring full compliance with FICA requirements, including the collection, verification, and maintenance of all required client documentation.
- Monitoring and following up on outstanding conditions, suspensive conditions, guarantees, rates clearances, levy clearances, compliance certificates, and other transactional requirements.
- Coordinating the lodgement, tracking, registration, and finalisation of matters at the Deeds Office.
- Maintaining accurate file records, diary systems, and reporting structures to ensure all transactions are properly managed and updated.
- Preparing accounts, pro forma invoices, and statements, and assisting with the collection of outstanding documentation and payments where required.
- Providing regular progress updates and reporting to clients, financial institutions, developers, and internal stakeholders.
- Ensuring that all transactions are handled in accordance with applicable legislation, banking protocols, firm policies, and conveyancing best practices.
- Assisting attorneys and directors with administrative and paralegal support related to conveyancing transactions and property developments.
- Managing a high-volume workload while maintaining a high standard of accuracy, professionalism, confidentiality, and client service.
Qualifications
- National Senior Certificate (matric) is essential.
- Recognised tertiary qualification in Legal or Paralegal Studies, will be advantageous.
Criteria
- Extensive conveyancing paralegal experience.
- Minimum 3 years of proven experience in development transfers
- Sound knowledge of conveyancing processes and Deeds Office procedures
- Experience liaising with banks, estate agents, developers, and clients
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Proficiency in legal software systems (CMS advantageous).
- Exceptional verbal and written communication skills.
- Professional demeanour and the ability to deal effectively with clients, staff, and stakeholders.
- Ability to work independently, multitask efficiently, and maintain strict confidentiality.
- High attention to detail and excellent organisational skills.
