National supplier to the South African printing industry is looking for well-groomed/professional, bilingual young lady to join their team
Main job function
Answering switchboard in a polite and professional manner.
Taking messages and conveying them the relevant people.
Manage and coordinate incoming and outgoing mail.
E-mail and telephone calls.
Sending parcels to other regions via courier
Receiving guests in a friendly manner and attending to visitors, and offering refreshments where required.
Ordering of refreshments for customers and management and monitoring of usage.
Extracting reports from telephone management system, filing and distributing as per instructions.
Updating the telephone list and creating speed dials for cellphone and distribution of telephone list after implementation of changes.
Managing and resolving of all switchboard and other phone problems and keeping systems up to date.
Ensuring the general neatness and tidiness of the reception area and boardroom and making sure that blinds are closed, and doors closed before leaving.
Manage reception area by ensuring that it is always clean and ordering fresh flowers and gifts when requested to do so.
Filing of waybills for received items and other important documents.
Booking of Boardrooms for Meetings – create Welcome Board
Wrap Birthday gifts – ensure gift and Happy Birthday board is done
Ad-hoc requests from staff and Managers
Must have at least 2 years Receptionist / Administrative experience
Front desk training will be beneficial
Must be a candidate who is passionate about RECEPTION and not looking for “stepping stone” position
Own transport will be beneficial - MUST have reliable transport
Must be well spoken in English and Afrikaans
Must be presentable and professional
