Our client, one of the top law firms in the country is looking to appoint a Legal Secretary.
Main job function
The candidate for this position will be successful if they are able to execute a variety of secretarial duties of a confidential nature. These tasks will include working with attorneys, paralegals, and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time managements and organisational skills coupled with the ability to be detail oriented.
• Maintain Partner(s) and/or Professionals’ diary including the coordinating and liaising with relevant
• parties with regards to meetings and to prepare all documentation for appointments and travel
• Filing, organising, and maintaining documents, case files and law libraries
• Opening and closing of legal files in accordance with the firm’s policies and procedures
• Organise and maintain legal files in accordance with the firm’s policies and procedures
• Assist in handling legal administration requirements
• Assist in the preparation and processing of legal documents
• Prepare, serve, and file of court documents
• Prepare legal documents such as notices and letters
• Print all correspondence, pleadings and documents and file same in physical/ hard copy files
• Ensure documents dispatched are accurate
• Manage incoming mail and documents
• Liaise with messenger/ driver
• Assist with legal research
• General office administration and management
• Dictation typing
• Thorough knowledge, understanding and experience in employment law / labour relations
• Follow up with clients regarding payments and keep a log of all client contact.
• Compile and submit weekly outstanding reports (payments from client and report to accounts
• department once a week)
• Ensure compliance with FICA
• Complete time sheets and capture time on CMS/Adarant
• Keeping track of attorney time records and billing
• Grade 12 (Matric)
• Paralegal / Legal Secretarial qualification
• Minimum of 5 years’ experience as a legal secretary within a law firm
• Minimum of 5 years' experience in employment law / labour relations (Non-negotiable)
• Knowledge of CMS / Adarant
• Knowledge of Microsoft Office Suite
• Knowledge of Billback
• Knowledge of basic numeracy and literacy skills
• Knowledge of administrative and clerical procedures and systems
• Communicate effectively both verbally and written
• Promote collaboration across functional and geographical boundaries
